An on-site discovery week and a custom project platform for a home builder in Atlantic Canada.
A residential home builder in Atlantic Canada, putting up a couple hundred homes a year across several active sites, with sister companies handling land, site work, materials, and rentals. The work got done, but almost all of it ran through WhatsApp, paper, and one person's laptop. Leadership wanted a single shared picture of every project, and the admin taken off a team already at capacity. We built the platform that gives them both.
Every operational signal traveled through WhatsApp and was re-typed by a person into whatever system needed it. Checking where a project stood meant driving to the site, one of them more than five hours away. The only tracking tools were built and maintained by one person, on one laptop, with no shared access.
Invoices were handled four or more times across email, paper, accounting software, and spreadsheets. No check existed that every expected invoice for a build stage had arrived, and duplicates were caught by one spreadsheet and memory. Scheduling and site knowledge lived in people's heads, and left with them.
We spent a week on site: job sites, warehouses, and one-on-one conversations across the office, the field, and the depot, from the group accountant to the warehouse manager. Interviews came first and sites second, so we understood the work before we watched it.
On the last day we presented the findings, a workflow report, and the requirements for a platform built on the updates the field team already writes, with a demo the team could click through on their phones. The platform was built over the following weeks and is now how the company runs its projects.
The platform runs on one rule: no change to how field staff work. The daily WhatsApp updates the team already writes are the data feed. Each post is read, and the matching project, home, and build phase update themselves. Anything the system cannot parse with confidence lands on a needs-attention list for a person instead of failing silently.
It is a hosted, mobile-first web application with individual logins and roles, from read-only to administrator, so it stays simple for someone looking something up and complete for the person who runs it. Every automated value can be edited, every automated action reversed, and every change is logged with who, when, and what it replaced.
One shared picture of every project, home, and build phase, on every phone in the office and the field. The re-keying stopped: the field posts once and the platform does the rest. Checking where a project stands no longer means a drive to the site, and the tools that lived on one laptop are gone.
Invoices are logged once, with the file attached, and duplicates are caught before they are paid. Permits no longer sit forgotten in an inbox. What used to live in a few heads now sits where the whole team can reach it, with a name and a time on every change. The six recommendations that sat outside the build are in motion too, starting with the inventory count the warehouse manager volunteered to lead.
